Executive Secretary

Job Description

Provides secretarial/clerical/administrative support as required for the Trust Department. 

Duties requiring considerable judgment and skill include:

  • Prepares PowerPoint and Excel presentations for Board of Trustees and clients
  • Screens incoming calls, processes mail and correspondence and distributes to appropriate areas
  • Maintains appointment calendar
  • Arranges and coordinates meetings and events
  • Handles daily contact with internal and external customers, management and visitors
  • Prepares employee expense reports
  • Maintains employee attendance records, calendars and contact lists
  • Handles travel arrangements for staff requiring research and cost analysis to book and confirm best available prices
  • Establishes and maintains a department centralized filing system
  • Orders office supplies as necessary
  • Supports special projects
  • Performs other secretarial/clerical/administrative duties as assigned

The successful candidate must have great attention to detail, and demonstrate initiative and the ability to prioritize multiple tasks.

Requirements:

Previous secretarial/clerical/administrative experience.  Must possess exceptional office and communication skills.  Excellent analytical, organizational and computer skills using Word, PowerPoint and Excel.  Must be flexible, discrete, well organized, proactive and demonstrate the ability to take initiative, handle multiple responsibilities concurrently, and work independently.  Qualities necessary for optimal performance include a positive attitude, enthusiasm, perseverance, responsiveness, discretion, professionalism, accuracy and attention to detail.  Excellent decision making and problem assessment skills are a must.
