Executive Administrative Assistant

Industry: Religious, Non Profit

Principle Function: The Executive Administrative Assistant is responsible for supporting the Senior Pastor and Executive Team in the performance of administrative duties that include weekend service planning and design, marketing and communication; providing administrative support for the ministerial affairs of the Senior Pastor and Executive Team. The individual is sufficiently knowledgeable about administrative support activities, including but not limited to managing an Executive’s calendar, office, travel, project management and research. Must embrace our church’s doctrinal position and constitution without reservation and be an advocate of our philosophy of ministry both in public and in private.

Essential Duties and Responsibilities:

  • Administrate the planning and design of weekly adult worship services in support of the Executive Team and Teaching Team

  • Establishes internal communication procedures to support the Senior Pastor

  • Implements, arranges and participates in conferences, workshops and meetings as directed by the Senior Pastor

  • Responsible for the composition of public relations materials for the Senior Pastor and other collateral materials for the church as assigned (i.e., weekly bulletin, newsletter, personal bios, etc.)

  • Manage the development, production, and distribution of all forms of church marketing materials (direct mail pieces, signs and banners, flyers, brochures, logos, etc.) as directed by the Executive Team

  • Establish and maintain filing systems as needed to ensure easy access to important information

  • Serves as the church’s principal administrative supply coordinator. Orders, maintains and distributes all administrative supplies. Ensures adequate supplies are on hand

  • Develop, implement, and maintain a resource management tool (book text, magazine and newspaper articles, etc.) in support of sermon development and authorship of articles, books, and other publications

  • Research, edit, and distribute sermons, articles, manuscripts, and other written material produced by the Executive Team

  • Maintain personal websites for the Executive Team including content updates, e-mail processing, Blog posting, and other activities as directed

  • Manage the Master Calendar for the church and the Executive Team’s calendar functioning as the primary contact person for meetings and other schedule activities/events

  • Manage all forms of correspondence including voicemail, e-mail, and regular mail

  • Make travel arrangements and coordinate speaking engagement logistics

  • Manage budgetary spending for the Executive Team

  • Maintains various types of files and databases for the Senior Pastor and church

  • Provide supervisory responsibilities to administrative assistants

  • Perform other duties as assigned

Qualifications and Skills:

  • 5+ years’ experience as an executive assistant or equivalent administrative experience that includes

  • Bachelor’s degree is preferred

  • Function well under pressure

  • Maintain confidentiality and trust in all situations

  • Must be able to manage conflicting views with a positive attitude

  • Detail oriented

  • Exceptional communication, writing, liaison, and organizational skills.

  • Ability to demonstrate discretion, integrity, and fair-mindedness

  • organization, coordination and customer relations and performance of duties at an executive level.

  • proficient with basic software applications (Microsoft Office Suite, especially Word and Excel)

  • Ability to work effectively, independently, and in a team environment
