General Summary

The Project Manager will report to the Chief of Staff and support the entire Support team by leading project management functions for Marketing, Strategy and Finance. This role will develop timelines, budgets and key deliverables for cross-functional teams and major projects.

Essential Functions

  • Acts as Lead Administrator for Basecamp and any other project management software tools that may be used

  • Develop timelines and project plans for all projects as assigned.

  • Set recurring project team meetings, help facilitate meetings, and ensure follow up items are assigned and follow up as needed.

  • Assist with annual budget development, while maintaining master project plans.

  • Lead project management (estimating, financial tracking, time tracking, project timeline applications, etc.) adjusting the tools and resources as required to effectively manage each project

·         Coordinate project activities and events – ensuring communication is flowing across departments.

·         Prepare budgets and submit estimates for program costs as part of campaign plan development.

  • Manages projects to ensure that they are delivered on-time, within the project scope, and within the assigned budget.

  • Coordinates scheduling and development of project documentation.

  • Creates reports on key project and communication metrics.

  • Monitor Marketing, Strategy and Special Projects budgets, and collaborate with the Finance Department to ensure that all accounts payable requests are processed in a timely manner.

  • Attends and successfully completes all training as required

  • Performs other duties as assigned.

·         Project Management – ability to develop project plans, roadmaps and budgets for multiple projects and teams simultaneously. All with exceptional skill and accuracy.

·         Time Management – managing one’s own time and the time of the team.

  • Communicating with Supervisors, Peers, or Subordinates — Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.

  • Establishing and Maintaining Interpersonal Relationships — Developing constructive and cooperative working relationships with others and maintaining them over time.

·         Critical Thinking — Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems. Executive maturity required, with superior communication and interpersonal skills.  Ease with taking ownership of tasks.

Supervisory Responsibilities

This position has no direct reports currently.

Qualifications

·         Bachelor’s Degree in Business, Marketing, Communications or related degree with 3-5 plus years’ experience

·         Required to have 2-3 years’ experience with Basecamp software

·         Prefer Project Management in creative department and/or ad agency

Physical Requirements

·         An employee in this position primarily works in a typical office environment, and uses computers, calculators, telephones, printers, and other office equipment to fulfill the position duties.

·         An employee in this position is required to walk, hear, speak, and stand to inspect the inventory and interact with customers, members, and volunteers.

·         Work is conducted in a fast-paced, rapidly changing environment.

·         The ability to manage stress, build professional and collaborative relationships, and reason through complex business situations is required.

·         A flexible schedule is required since this position requires evening and weekend work due to scheduled events.
